At a glance

Google Workspace combines business email, shared documents, storage and meetings under organization-managed accounts. It is worth considering when a team wants to work from the same live documents and needs its own email domain and account administration. The benefit is a common place to work; the effort is moving mail and files, setting sharing rules and maintaining user accounts. Start with a small collaboration trial before committing the whole company or switching email delivery.

Good fit

Teams whose everyday work is writing, reviewing and sharing browser-based documents alongside business email. An editor or commenter works on the shared file rather than returning another attachment. Starter can suit modest storage and basic meetings; Standard adds substantially more pooled storage and meeting recording. For integrations, Workspace exposes APIs through a cloud project with separate authentication, consent and credentials. Buying seats does not itself give an agent access to everyone’s inbox or files.

Consider something else when

Your main need is a personal document editor or an occasional video call rather than a managed business suite. Compare Microsoft 365 if your team already relies on that ecosystem; test representative documents and external collaboration before moving. If your headcount may shrink, the cheaper annual rate can be the wrong choice because removing people does not reduce the committed seat bill until renewal.

Start here

With an authorized test account, create a non-sensitive document and use Share to give a colleague Commenter or Editor access. Keep access restricted to the intended people. A useful first result is that the colleague can open the same document and make the permitted contribution. For custom-domain email, an administrator must verify domain ownership with the supplied TXT record. Create the required mailboxes and aliases before changing MX records, which redirect incoming mail, then activate Gmail in the Admin console and test delivery. These are documented steps; no account, document sharing or DNS change was performed for this guide.

Cost and requirements

On 31 October 2026, standard US prices for Business Starter, Standard and Plus were $7, $14 and $22 USD per user per month with a one-year commitment; Flexible prices were $8.40, $16.80 and $26.40. Promotional rates and taxes change the final quote. Annual billing can be monthly or yearly, but the commitment remains. Pooled storage contributions are 30 GB, 2 TB and 5 TB per user respectively, shared across the organization. Standard is the first of these tiers with meeting recording. Business editions support up to 300 users. Domain ownership and access to DNS are additional requirements for custom-domain email.

Limits to know

External sharing and AI access depend on administrator settings and edition. Google says qualifying Workspace Gemini data is not used to train models without customer permission; that policy is distinct from consumer accounts and does not mean processing is local. Plan a departure before canceling: the organization’s Data Export tool requires an eligible super administrator, two-step verification and an active subscription for core-service data. Exports have a minimum 48-hour wait and can take up to 14 days. An archive is not proof of a successful migration. Collaboration, mail delivery, document fidelity, AI quality and export restoration were not tested here.
