For a single invitation, try the browser join path before buying or installing anything. For a company rollout, account setup, guest access and file permissions are part of the job; the value depends on whether the group will use the shared workspace.

Good fit

Groups that need recurring meetings and a continuing place for project discussion. In a managed team, channels organize conversations and connect to document storage. Microsoft 365 bundles can add business email and document applications; Teams Essentials is a standalone option that can keep an existing email system. Developers can automate Teams through Microsoft Graph or build agents and embedded applications with the Teams SDK. Those integrations need their own app configuration and authorized access, rather than treating a meeting link as permission to read company data.

Consider something else when

You only need to attend a meeting someone else organized; participation may work in a supported desktop browser without your own subscription. Also avoid choosing by a Microsoft 365 bundle name alone: versions with and without Teams exist. If the broader problem is company email and collaborative documents, compare Google Workspace as a suite choice, then decide whether Teams still adds something useful. A new chat workspace adds little if the group keeps all its decisions elsewhere.

Cost and requirements

As of 31 October 2026, the US Teams Essentials price was $4 USD per user per month, paid yearly with automatic renewal. The comparison lists meetings up to 30 hours and 300 participants, with 10 GB storage per user. Teams Free’s personal offering has 60-minute group calls, up to 100 participants and 5 GB storage. A Microsoft 365 Business Basic version with Teams was $7 per user per month, paid yearly; a no-Teams version is a different purchase. Essentials uses a managed work identity and can connect to an existing email system. Check recording, advanced AI and ordinary telephone calling requirements against the exact plan.

Limits to know

A private conversation is not a promise that the organization cannot retain it: administrators can preserve compliance copies after a message disappears from the app. In managed teams, channel files live in SharePoint sites, with access tied to the channel and sharing settings. Treat meeting access and file access as separate checks. Before switching providers, investigate export: Microsoft documents APIs and a support-enabled switching tool for tenants up to 500 users, requiring a global administrator and a limited download window.
